1. Who we are

A Level Maths Academy is operated by The A Level Maths Tutor Limited, a company registered in England and Wales (company number 15224150), registered office 83-89 Phoenix Street, Sutton-In-Ashfield, England, NG17 4HL.

We are the data controller for personal data collected through this site. If you have any question about how we handle your data, email andy@alevelmathsacademy.co.uk.

2. What we collect

When you create an account

Your name and email address.
A password, which we store only as a secure hash and can never read.
Optionally, your exam board and which calculator you use.
Whether you agreed to marketing emails, and when.

As you use the site

Your year group, whether you are resitting, and your lesson reminder preference.
Which lessons you joined, and when you joined and left.
In a live lesson, what you write in the lesson chat (with your name or chosen chat name, and when), and which poll questions you answered.
How much of a catch-up recording you have watched, and at what playback speed.
Your flashcard progress, worksheets, answers to practice questions, and the marks and comments on any whiteboard work you ask us to mark.
Your XP, level, streak and any trophies (see section 6).
An activity log of significant actions, which includes your IP address and browser.

If you pay for a Premium membership

The reference Stripe, our payment processor, gives you as a customer, and the reference for your subscription.
The status and dates of your subscription: when it started, when the next payment is due, and when it was cancelled or ended.
The country of your billing address, because subscriptions are for UK addresses only.
A record of what the sign-up page showed you and what you ticked, with the time and your IP address. We keep this so that we can show what you agreed to.

What we do not collect

No card details. If you subscribe, you enter your card on Stripe's own secure page and it goes to Stripe, not to us. We never see or store your card number. If your Premium membership comes from tutoring with The A Level Maths Tutor, any payment happens there, not here.
No date of birth, and no more about you than the list above.
We do not record you. In live lessons we stream the teacher's screen and voice. Students are not on camera or microphone.

3. Why we use it, and our lawful basis

To run your account and give you the content you signed up for. Lawful basis: performance of a contract with you.
To run live lessons and catch-up, including knowing who attended. Lawful basis: contract.
To take payment for a Premium subscription and manage it, including renewals, reminders, cancellations and refunds, and to keep a record of what you agreed to when you signed up. Lawful basis: performance of a contract with you, and, for keeping financial records, our legal obligations.
To show you your own progress, and to see which lessons and materials are working. Lawful basis: our legitimate interest in teaching well and improving the service.
To send you marketing emails, only if you asked us to. Lawful basis: consent, which you can withdraw at any time using the unsubscribe link in any such email.
To keep the site secure and investigate misuse. Lawful basis: legitimate interest.
To meet legal obligations where they apply.

4. Live lessons and catch-up recordings

Our live lessons are streamed and recorded through YouTube, and the recording is embedded here so you can catch up. That has three consequences worth stating plainly:

What is in the recording is the teacher. Their screen and their voice. You are not on camera or microphone, and your name is not shown on screen. If you chat under your own name, the teacher may say your first name out loud when answering you, and that will be in the recording; choose a mathematician name if you would rather they did not.
A question you type in the lesson chat may be read out or appear on screen, so it can end up in the recording. If you would rather ask something privately, email us instead.
Watching an embedded video involves Google. When a recording loads, YouTube may set cookies and receives your IP address, as it would on any site with an embedded video. See our Cookie Policy.

We record how far through a recording you have watched so the page can pick up where you left off and so we can see which lessons people find useful. That information is yours and your teacher's; it is not shown to other students.

5. Who we share it with

We do not sell your data, and we never will. We use a small number of service providers to run the Academy. They only process your data on our instructions, and only what they need for their part:

Hosting and email providers
A video provider: for live lessons and recordings
An online whiteboard service: used in some lessons
A secure backup provider
An analytics provider: only if you accept analytics cookies
An AI assistant: used in two ways. When you email us, it helps draft our reply, so it reads your email; a person reads and edits every reply before it is sent, and nothing is sent automatically. When you ask for your whiteboard work to be marked, a picture of that work and the question's mark scheme are sent to it, and it suggests marks and comments. They come straight back to you, and if you think the marking is wrong you can flag it and a person will check it. Neither is used to make decisions about you.
A payment provider: takes subscription payments on its own secure page

If you would like to know the name of any provider on this list, ask us and we will tell you.

Outside the UK. Some of our providers are based in the United States or have US parent companies, so some data may be processed there. Where that happens we rely on the UK-US Data Bridge for providers certified under it, and otherwise on contract clauses approved under UK data protection law.

The A Level Maths Tutor. If you are a tutoring client there, your Academy account was created from your details there and your Premium membership comes from it. If you become a tutoring client there, you no longer pay for a Premium subscription separately: Premium membership is included in your tuition. That is the only routine sharing between the two, and it happens because you are a client of both.

6. XP, streaks and trophies

The Academy has XP, levels, daily streaks and trophies. They are there to make revision feel less like a slog, and plenty of students find them motivating. We would rather be straight with you about what they are.

They work by recording what you do and when: questions answered, flashcards reviewed, lessons attended, and the days you were active.
They are designed to encourage you to come back. A streak that resets is a nudge, and that is exactly what it is for. If that ever feels more like pressure than encouragement, that is a good reason to ignore it, and it will not affect your access to a single thing on this site.
Trophies and champion places involve comparison with other students. Only your display name and the score appear, never your email or anything else about you.
Your streak is not sent to your school. Our tutors can see your progress, because that is their job. A teacher at a partner school can see it only if you are in their class. If a parent or guardian has an account linked to yours, they can see your streak and the rest of your progress on their account, and they can choose a weekly lesson summary (see section 7).

You can turn the visible parts off. Ask us at hello@alevelmathsacademy.co.uk and we will take you out of trophies and champion listings. We have written this section because the people using these features are mostly under 18, and the ICO's Age Appropriate Design Code expects a service like ours to say what its nudges are doing rather than leave you to work it out.

7. If you are under 18

Most of our students are studying A Level, so most are 16 to 18. Some are younger.

We keep what we hold about you to what we need to teach you.
We do not profile you for advertising, and we do not sell or share your data with advertisers.
You are not recorded in lessons.
If a parent or guardian holds an account linked to yours, they can see your progress. That link is set up deliberately, not automatically. They can also choose a weekly email about your live lessons: how long you were there, how much you used the chat and polls, and your flash card practice. It counts messages and answers; it never shows what you wrote.
We have regard to the ICO's Age Appropriate Design Code, which is the standard for online services likely to be used by children.

If you are 12 or under, please ask a parent or guardian to set your account up and to contact us on your behalf.

8. How long we keep it

Your account and progress — while your account is open, and for up to 12 months after you last use it, so that coming back after a break does not mean starting again.
Activity and lesson attendance logs — up to 24 months, which covers this academic year and the last. Pages you visited are kept for 90 days and sign-ins for 12 months.
Lesson chat — 12 months, then deleted automatically, unless it becomes part of a safeguarding concern, when it is kept with that concern.
Enquiries — 2 years from your last contact with us.
Marketing consent records — for as long as we hold your email, so we can show what you agreed to and when.
Subscription and payment records, including the record of what you agreed to when you subscribed: six years after the end of the financial year they relate to, because the law requires us to keep financial records for that long. This applies even if you ask us to delete your account.
Lesson recordings — kept while they are useful for the current and previous academic year. They contain the teacher, not you.

Ask us to delete your account and we will, subject to anything we have to keep by law.

9. Your rights

Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict or object to what we do with it, or send it to another service. Where we rely on your consent, you can withdraw it at any time.

Email andy@alevelmathsacademy.co.uk. We will respond within one calendar month, and will tell you if a request is complex enough to need longer. There is no charge, and you do not have to give a reason.

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.

10. Keeping it safe

The site runs over HTTPS, passwords are stored as hashes we cannot reverse, access to student data is limited to the people who need it to teach or support you, and our databases are backed up in encrypted form. No system is perfectly secure, but we take this seriously and we will tell you promptly if something happens that puts your data at real risk.

11. Changes

We may update this policy. The date at the top always says when it last changed, and if we change something significant we will make it obvious rather than quietly editing this page.
